Setting Up Long-Term Key Issue

KeyTrak’s key issue feature allows you to manage keys long term. To use this feature, you’ll attach keys to a tag with a quick-release ring. This allows you to easily remove a key while still getting the tag’s tracking benefits. You can order quick-release rings at keytrak.com/supplies.

Setting up the key issue feature involves three steps: adding a key to the system, assigning the key to an asset, and assigning that asset to a key tag. For this example, we’re using KeyTrak Edge Multifamily.

First, log into the system with a user who has access to choice list options.

Navigate to the "Administration" menu and select "Choice List Setup", then "Key Types".

Choose “Add Key,” name it, and save.

Now, go to "Data Maintenance" to assign the key to an item, location, or vehicle. For this example, we’ll select “Apartment”.

Click “Add Apartment” and enter the required information. Once you’re done, add the apartment.

Go back to the "Apartment" page and select the edit icon for the apartment you created.

Find and select the “Keys” tab, then click “Add Key”.

Select the key you added in the first step, and fill out additional identification information if needed. Select "Save".

Now, return to "Data Maintenance" and go to “Tags”.

Select “Add Tag”.

Fill out the required information for the tag.

Place key tag against the sensor on the drawer.

Select “Add Tag” again.

Now the tag with the apartment registered to it has been created. Back on the “Tags” page, select the edit icon for that tag.

Toward the bottom of the edit page, select “Add New Key”.

Choose the key you just added for the "Key" field. This should import the key’s data. Then enter the number of copies there are.

Select “Save”.
